This Privacy Policy describes how EquipMe Rentals ("we", "us", or "EquipMe") collects, uses, and shares personal information when you request a rental quote, book equipment, contact us, or use the AI assistant on our website. EquipMe Rentals is a single-operator equipment rental business based in Las Vegas, Nevada.
1. Information We Collect
1.1 Information You Provide
- Name (first and last)
- Phone number and email address
- Company name (if applicable)
- Jobsite address, city, state, and ZIP for delivery and rental coordination
- Equipment of interest, rental dates, and project notes
- Messages you send through our AI assistant, contact form, or SMS replies
1.2 Information Collected Automatically
- IP address and approximate geographic region
- Browser type, device type, operating system
- Pages visited, referring URL, and time on site
We use Google Analytics 4 (measurement ID G-5XLN0Y3Y8F) for aggregated traffic analysis on every page of this website. We do not run advertising tracking pixels or third-party behavioral profiling cookies.
1.3 AI Assistant Disclosure
Our website includes a live AI chat assistant ("Equipment Advisor") that helps visitors find equipment and answer rental questions. Conversations are processed by Anthropic (Claude API) on our behalf. Do not enter sensitive personal information (e.g., payment card data, government IDs) into the AI assistant. Conversation logs may be retained for service quality and training-prevention purposes (see Section 5).
2. How We Use Your Information
- To respond to quote requests and contact-form inquiries
- To coordinate equipment delivery, pickup, and return logistics
- To send transactional SMS and email related to your rental (confirmations, delivery updates, return reminders, invoices)
- To prepare rental agreements, deposits, and invoices
- To meet tax, accounting, and legal record-keeping obligations
- To monitor site reliability, prevent abuse, and improve the service in aggregate
3. Subprocessors
We rely on the following service providers ("subprocessors") to operate the website and rental service. Each receives only the data required to perform its function and is contractually obligated to protect it:

4. SMS Disclosure
When you provide your phone number on a quote request, contact form, or booking, you consent to receive transactional SMS from EquipMe Rentals regarding your rental inquiry, including confirmations, delivery updates, return reminders, and invoice notifications. 5. Data Retention
- Rental and billing records — retained at least seven (7) years to satisfy federal and Nevada tax requirements
- Quote inquiries that did not convert — up to two (2) years, then deleted or anonymized
- SMS logs — up to three (3) years for dispute resolution
- AI assistant conversation logs — up to thirty (30) days for service quality, then deleted
- Sentry error logs — up to ninety (90) days
- Aggregated analytics — retained indefinitely in anonymized form
6. Sharing
We do not sell, rent, or trade your personal information. We share data only with the subprocessors listed in Section 3 to perform their function, and only as required by law (subpoena, court order, valid legal process) or to protect the rights, property, or safety of EquipMe Rentals, our customers, or others.
7. Your Rights
7.1 Nevada (NRS 603A)
- Right to know what categories of personal data we hold
- Right to request deletion (subject to our 7-year tax-record retention obligation for completed rentals)
- Right to opt out of sale of personal information — we do not sell personal information
7.2 California (CCPA/CPRA)
California residents have the right to know, the right to delete, the right to correct, and the right to opt out of sale or sharing of personal information. We do not sell or share personal information for cross-context behavioral advertising.
7.3 How to Submit a Request
Email equipmellc@gmail.com with the subject line "Privacy Request" and include your name, the phone number or email on file, and a description of your request. We respond within 45 days.
8. Security
We use industry-standard transport encryption (TLS), access controls, and audit logging to protect personal information. Payment card data is never stored on our systems — it is transmitted directly to the payment processor under their PCI-DSS standards. No system is 100% secure; we cannot guarantee absolute security.
9. Children
Our website and services are intended for adults conducting business. We do not knowingly collect personal information from children under 13.
10. Governing Law
